Application Components – Pre-Decision
The GEO application for off-campus study consists of the following components as part of the “Pre-Decision” checklist. Please review each section carefully so you’ll be prepared to sign and submit your application.
Applicants will need to agree to the following:
Please Note: Students who decline to sign this release will not be allowed to participate in any U.S.-based or overseas study programs through The College of Wooster.
- I understand that The College of Wooster is not always present during my participation in the PROGRAM and is unable to guarantee my personal health or safety during my participation in an off-campus study program.
- I recognize that The College of Wooster makes no representation about the safety of off-campus study sites or living arrangements. Students choosing to go on the PROGRAM are urged to evaluate the specifics of the program site and living arrangements.
- I understand that there are certain risks associated with travel and residence in a foreign country or the United States, and that The College of Wooster and its faculty and staff cannot control these risks.
- I understand that these risks may include exposure to potentially serious health, safety and security hazards including, but not limited to the following: transportation and pedestrian accidents; storms, floods, earthquakes, and other natural disasters; infectious disease; inadequate medical care; remote access to medical treatment; criminal activity; armed insurrections; and terrorist activities.
- I recognize that the U.S. Department of State issues formal Travel Advisories for all foreign countries. I realize that it is my responsibility to consider carefully the dangers recognized by such an advisory.
- Furthermore, I understand that if the U.S. Department of State issues a Travel Advisory of Level 3 for a country, The College of Wooster may withdraw its approval of any program in that country, and I would not be allowed to study there.
- I understand that if the U.S. State Department issues a Level 4 Travel Advisory, The College of Wooster will withdraw its approval for me to participate in a program in that country. These advisories can be found at: https://travel.state.gov/content/travel/en/international-travel.html.
- I recognize that The College of Wooster’s endorsement of this PROGRAM signifies only its approval of the academic merits of the PROGRAM and that The College of Wooster may withdraw its endorsement if it becomes apparent that the PROGRAM cannot be carried out as planned.
- I understand and acknowledge that there might be inherent health risks associated with living and studying off-campus, and I agree that I am personally responsible for obtaining all information regarding health, medical procedures, immunizations, and medications appropriate to the program of study.
- I recognize that The College of Wooster prohibits students from operating motor vehicles while on off-campus programs, and I recognize that The College of Wooster, its Board of Trustees, officers and employees assume no responsibility or liability of any kind for operation of a motor vehicle on such programs.
- I understand that The College of Wooster does not represent or act as an agent for, and cannot control the acts or omissions of, any host institution, host family, transportation carrier, hotel, tour organizer or other provider of goods or services involved in the PROGRAM.
- In consideration of being allowed to enroll and participate in a College of Wooster approved international or domestic program, I hereby release The College of Wooster, its Board of Trustees, officers, agents and employees from any and all claims arising out of or in any way connected with The College of Wooster global engagement programs and my participation in such a program, including, but not limited to the risks as outlined above.
I have read and understand the statements above and acknowledge my risks and release The College of Wooster from responsibility by submitting this document.

- I understand that in the course of processing my off-campus study application, The College of Wooster and the Global Engagement Office may exchange information that is identified (orally or in writing) as confidential or is of such a nature that a reasonable person would understand such information to be confidential (“Confidential Information”); provided that Confidential Information shall not include information (a) generally known to the public, (b) already known, through legal means, to the institution receiving the information, or (c) legally obtained from a third party.
- I understand that confidential Information shall be deemed to include the non-public personal financial information, student education records, and other protected information relating to students in accordance with the Gramm-Leach Bliley Act (and the Federal Trade Commission’s implementing regulations), the Family Education Rights and Privacy Act of 1974, the Health Insurance Portability and Accountability Act of 1996, and the European Union’s General Data Protection Regulation.
- I understand that the College’s third-party providers and partner colleges and universities agree to use the other party’s Confidential Information solely for the purpose of facilitating an off-campus experience.
- I understand all entities agree not to disclose such Confidential Information to any person or entity other than its own trustees, officers, employees, agents, advisors, and representatives who have a reasonable need to know the information for purposes of fulfilling their obligations to their institution.
- I understand that in the event that an entity is required to disclose the other institution’s Confidential Information pursuant to applicable law or a judicial or government order, or seeks to disclose Confidential Information in connection with any litigation, alternative dispute resolution proceeding or regulatory proceeding, it may make such disclosure, but will notify the other institution in advance, so as to allow the other institution an opportunity to obtain a protective order or similar relief.

The College of Wooster does not collect this information, so GEO is collecting it to understand who studies abroad and how we can best advise all students.
Applicants will need to agree to the following:
- I understand that the Global Engagement Office will review my disciplinary record at The College of Wooster as part of this application process.
- I understand that if I am on disciplinary probation during the period of my intended study away program, or have outstanding sanctions, I may not be eligible to study off campus.
- I understand that it is my responsibility to complete any disciplinary sanctions prior to acceptance to a study away program.
- Should any aspect of my conduct record change prior to my departure, I must notify the Global Engagement Office by emailing my GEO advisor.
- I understand that failure to disclose changes to my disciplinary record could result in disciplinary action or removal from the program.
- I understand that if I am removed from my program due to changes in my disciplinary record prior to the start of my program, I am responsible for all fees according to the withdrawal policy outlined in my payment contract.

Select a faculty member who knows you academically: you have taken classes from them before or they are your current academic advisor. They will evaluate your capacity to study abroad ad write you a recommendation.
Applicants will need to agree to the following:
- I have read and understand why the release of non-directory information may be necessary to ensure my admission to an off-campus study program. If I do not understand, I realize that it is my responsibility to seek clarification from the Global Engagement Office.
- I consent to give the Global Education Office permission to discuss details of my chosen off-campus study program with the host university or provider with whom The College has partnered to enable my participation in the program to which I am applying.
- I consent to give the Global Engagement Office permission to provide pertinent non-directory information to the host university or provider with whom The College has partnered in order to enable my participation in the program for which I am applying.
- I consent to allow The College of Wooster faculty and/or staff to speak to the person(s) listed as my emergency contact(s) regarding my participation on this Wooster program should a situation arise that The College perceives to be an emergency.
I have read and understand the statements above. By submitting this form I provide consent for The College of Wooster to release educational information as necessary and as set forth above to facilitate my participation in the program. This authorization is valid from the time I submit this signed document through a period of one semester after my off-campus program ends.
Please Note: If you do not agree, contact the College of Wooster Global Engagement Office to determine whether alternate arrangements may be made regarding participation in this program without the disclosure of “non-directory” information.

Your Academic Advisor can help you map out a Four-year Plan, and together, you can decide the best time to study abroad and which program(s) will enable you to stay on track for graduation.
Early planning is the key to successfully integrating an off-campus study opportunity into your four years here at The College of Wooster. We want you to graduate on time! As part of the GEO Application process we ask that you meet with an academic advisor to ensure that you can study off-campus and graduate on time, “Fillable” four-year plans are on the APEX website: https://www.wooster.edu/offices/advising Make sure you download the Educational Planning Form that is specific to your year of graduation. With your advisor:
- Review the GEO program you have selected
- Pencil in the classes you hope to take off campus
- Determine what course approvals you’d want to seek
- Ask: “Can I do this and graduate on time?”
- Upload the plan to your GEO application
Hopefully the GEO program you’ve selected will enable you to stay on track. If not, don’t despair! There are many high-quality off-campus programs, and GEO is happy to help you find an alternative program! Plus, now you have an even better idea of what major or graduation requirements you need to be able to fulfill during your off-campus experience!

Please read the statements below carefully and indicate your consent by submitting this document.
- In the case of a medical emergency during my off-campus study program, I authorize a faculty or staff member from The College of Wooster to release medical information to my parents, family members, personal representative under HIPAA, or other party responsible for my health and medical care in the event that The College of Wooster perceives that I need care or evacuation.
- If I authorize the release of medical information, this authorization is valid from the time I submit this signed document through a period of one semester after my off-campus program ends.
- I agree I will sign any required HIPAA authorization forms (or other medical releases required pursuant to local law) to provide health information to The College of Wooster in the event of a medical emergency.
- I also authorize The College of Wooster (faculty and/or staff) to speak to the person(s) listed as my emergency contact(s) and my Host University or third party program provider regarding my participation on this Wooster program should a situation arise that The College perceives to be a health emergency.
I have read and understand the statements above and, by submitting this document, authorize The College of Wooster to release medical information and speak to the responsible party in the situations described above.
Applicants will need to agree to all of the following:
The College of Wooster works with “program providers” such as Arcadia, CIEE, DIS, IES, IFSA, and SIT and exchange partner universities to make a wide variety of program options in different disciplines and parts of the world available to Wooster students. The College enables students to utilize institutional and federal aid for one-semester or year-long off-campus study programs. It is essential that students are aware of financial commitments when committing to an off-campus study program.
Upon being accepted to an off-campus study program, a student must signal their intention to participate by “committing” to the program in the “GEOStudyAbroad” application system. Commitment deadlines are:
- April 1 – Summer and Fall semester Programs
- November 1 – Spring semester Programs
A student who decides not to study off-campus must formally withdraw from the program in the “GEOStudyAbroad” application system. A student who fails to formally withdraw will be considered a participant and will be held responsible for all program fees.
Students participating in a semester program are charged their regular Wooster tuition OR the cost of the program’s tuition, if it is higher than Wooster’s tuition.
Students participating in a summer program pay the tuition fee of their program provider.
All students studying off campus on a semester-long or year-long provider program or an exchange are assessed a Global Engagement Office Administrative Fee equal to 3.5% of The College of Wooster’s Comprehensive Fee. This fee is non-refundable for all off-campus study participants once the commitment deadline has passed.
All students studying off campus on a provider program during the summer are assessed a Global Engagement Office Administrative Fee equal to 3.5% of The College of Wooster’s Summer Tuition Fee. This fee is non-refundable for all off-campus study participants once the commitment deadline has passed.
Program providers will typically require a program deposit to hold a student’s space in a program. Students pay this deposit directly to the provider. Students receive credit for their deposit on the provider’s invoice.
Most providers invoice The College of Wooster for its students’ accommodations and, if applicable, meal plans. In turn, Wooster invoices students for these charges, and then submits payment to the provider. (Students studying off campus do not pay room and board at the College of Wooster.)
Students studying off campus are responsible for several miscellaneous expenses including passport and visa fees, airfare, in-country transportation, books, some meals and/or groceries, and so on. These expenses are the responsibility of the student and their family, so students should budget for these expenses.
Students formally withdrawing from a summer or semester program prior to the start date of their program shall forfeit the enrollment deposit, the GEO Administrative Fee, and any unrecoverable monies that the College has already committed on the student’s behalf. In addition, the program provider may not provide refunds.
Students withdrawing from a program after the program start date are not eligible for refunds.
Students forced to cancel their attendance for medical reasons or a significant family or personal emergency prior to the program start date may be eligible for a partial refund of program fees. Students must submit proper documentation (physician’s note) to be considered for a partial refund.
Students who experience a medical emergency or another emergency that requires early departure from an ongoing program will be responsible for any additional travel and related costs that may be incurred. These students, however, may receive a partial refund of amounts paid in accordance with the Schedule of Charges for Withdrawal indicated in the “Withdrawal” section of The College of Wooster Catalogue provided the student has formally withdrawn within the required timeframe. The amount refunded after the percent calculation will be reduced by any unrecoverable costs already incurred by The College of Wooster on the student’s behalf. The number of weeks corresponds to the date that the program began. This schedule may change for short-term/summer programs in which case an indication will be made in the program’s documentation.
Students are responsible for arranging with their provider to complete any coursework missed as a result of early departure. It is the discretion of the faculty to award credits for coursework completed, and early departure from a program may result in credits not being awarded due to the amount of coursework missed or coursework that cannot be completed because it is fundamentally grounded in the environment.
Students receiving financial aid for a semester, year-long, or summer program are subject to federal refund requirements and should contact the Financial Aid Office regarding the impact of cancellation/early departure on their aid.
Program Providers reserve the right to cancel a program before it has started or, in extreme instances, during the program if it is in the interest of the program and its participants. In such circumstances the provider may provide a partial refund or cover expenses related to early departure.
The College of Wooster will not refund airfare or other costs incurred as a result of program changes or cancellations/withdrawals. Students should keep this in mind if purchasing non-refundable tickets and should consider purchasing cancellation insurance to reduce risk.
The College of Wooster will apply all financial aid to an approved application for one approved study off-campus program (semester or year-long) subject to the following condition: The student must be enrolled at Wooster the semester following study abroad.
Important: If a student applies institutional financial aid to an off-campus program and does not return to The College of Wooster after the program, the student will be billed for the full amount of aid distributed and must repay those funds to The College.
The College of Wooster Business Office makes the final decisions regarding refunds.
